Protective Pathways Privacy Policy

Protective Pathways is committed to providing high-quality services and safeguarding your privacy. This policy explains how we collect, use, store, and protect your personal information in line with the Australian Privacy Principles (APPs) under the Privacy Act 1988 (Cth).

What is Personal Information and why do we collect it?

“Personal Information” means any information or opinion that identifies an individual.

Examples include your name, email address, phone number, billing details, and organisational role.

We collect personal information to:

- provide our services (including training, consultations, presentations, and resources)

- manage bookings and communication

- send updates, training information, and marketing (you may unsubscribe at any time)

- comply with legal and reporting obligations.

We collect Personal Information through:

- emails, messages, phone calls and written correspondence

- our website and online forms (e.g., session registrations, contact forms)

- booking platforms, payment processors, analytics services, and cookies

- third parties such as schools, organisations, or event hosts who register you for training.

Where appropriate, we will explain why we are collecting information and how we intend to use it.

Sensitive Information

Sensitive Information includes details about racial or ethnic origin, political opinions, religious beliefs, trade union membership, criminal history, or health information.

We only collect or use Sensitive Information:

- for the purpose for which it was provided

- for a directly related secondary purpose you would reasonably expect

- where required or authorised by law.

Protective Pathways does not routinely collect Sensitive Information unless essential (e.g., accessibility requirements for a session).

Third Parties

Where reasonable and practicable, we collect information directly from you.

However, we may also receive information from third parties (e.g., a school registering its staff or parents for a session).

If this occurs, we take reasonable steps to ensure you are made aware of the information provided to us.

Disclosure of Personal Information

We may disclose your Personal Information to:

- third parties where you have consented

- organisations involved in delivering our services (e.g., online booking platforms, payment processors, email systems)

- service providers such as IT support, cloud storage, and analytics

- where required or authorised by law.

We do not sell or rent personal information.

Some service providers store data overseas (e.g., Google, Zoom, Stripe/PayPal). Protective Pathways takes reasonable steps to ensure these providers meet privacy and security standards.

Security of Personal Information

Your information is stored securely in electronic systems designed to protect it from misuse, loss, unauthorised access, modification, or disclosure.

When your Personal Information is no longer needed, we will take reasonable steps to destroy or de-identify it.

Most client-related information is retained only for as long as reasonably necessary to fulfil the purposes for which it was collected or to comply with legal obligations.

Access to and Correction of Personal Information 

You may request access to the personal information we hold about you. We will provide this unless an exception applies under the Privacy Act.

There is no fee to make an access request; however, we may charge a small administrative fee for providing copies.

To protect your information, we may require identification before releasing records.

If your information is inaccurate or outdated, please contact us so we can correct it promptly.

Maintaining the Quality of your Personal Information

We take reasonable steps to ensure information we hold is accurate, complete, and up to date.

You can help by advising us of any changes as soon as possible.
